The policies that apply once you submit a booking inquiry with Posterchild Media.
Effective September 16, 2026
Submitting the booking form on this website sends Posterchild Media an inquiry — it does not create a hold on your date and does not itself constitute a confirmed booking. Dates are reserved on a first-confirmed basis; a specific date is not secured until the required retainer and signed agreement (Section 3) have both been received.
A 25% non-refundable retainer is required to reserve a production date. This retainer is not refundable under any circumstance once paid, including cancellation, rescheduling outside the free-reschedule window (Section 4), or a change of mind.
In addition to the retainer, a signed project agreement is required before a date is considered secured. A date is not considered secured until both the required retainer and the required agreement have been received.
You may reschedule your session free of charge if you notify us more than 24 hours before your scheduled session or event. Notice given less than 24 hours before your scheduled session or event is treated as a late cancellation and requires a new booking, including a new retainer, to reserve a future date.
The 25% retainer described in Section 2 is non-refundable. Any additional amounts you've already paid beyond the retainer may be refunded for services that have not yet been performed, less any non-refundable or custom third-party costs already incurred specifically on your behalf (for example, a non-refundable venue or vendor booking made for your project).
For ordinary bookings with a set price, the remaining balance is due 48 hours before your scheduled session or event. If your booking is made or confirmed within 48 hours of the session or event, the remaining balance is due at the time of confirmation. Larger or custom productions may instead follow the payment schedule stated in their signed project agreement.
Standard photography sessions are edited and delivered within 72 hours of your shoot date. Video, corporate, and larger productions follow project-specific timelines set out in your proposal or agreement.
Time exceeding the contracted production or coverage period is subject to availability and may be billed at the applicable hourly or overtime rate.
Base rates apply to our standard local service area. Extended travel, parking, permits, studio rentals, location fees, specialized equipment, additional crew, lodging, and other third-party production expenses may be billed separately where applicable.
Rush delivery is available where scheduling permits: delivery under 72 hours is +25%, under 48 hours is +35%, and 24-hour or same-day delivery is +50% or more.
Projects include up to two standard revision rounds unless otherwise stated in your proposal or agreement. Additional revisions begin at $100/hour with a one-hour minimum.
RAW photographs, unedited video footage, project files, and other source materials are not included with standard packages unless explicitly stated. Raw/source-material delivery may be licensed for an additional fee beginning at 50% of the applicable project subtotal, depending on scope, storage availability, and usage requirements.
Copyright and intellectual-property ownership transfers require a separately negotiated written agreement and are not included with standard raw-file delivery or standard package deliverables.
Corporate, advertising, product, campaign, promotional, and other commercial use of delivered images or video may require separate licensing or usage fees, quoted based on intended use, distribution, media, duration, territory, and exclusivity.
Packages listed as "Starting at" reflect a real minimum price — your final total may exceed it depending on scope, deliverables, and production requirements. Packages listed as Custom Quote carry no computed price at all; a specific quote is prepared for your project before any total is presented. Neither figure is a guaranteed final total.
Indicating interest in prints, framed pieces, or collections during booking is not a purchase or an order — it lets us know what to follow up about. Actual prints and products are offered and fulfilled after your edited gallery is delivered.
Outdoor and on-location sessions are subject to conditions beyond our control, including weather, venue policies, and permitting. Where a specific location or venue requires its own access, permission, or restrictions, arranging that access is a client responsibility (Section 19).
Where offered, aerial coverage is subject to location, airspace, weather, venue restrictions, safety conditions, and operator availability. We do not guarantee drone deliverables for any package.
You're responsible for providing accurate information when booking, responding to communications in a timely manner, and arranging any access, permissions, or approvals needed for a specific location or venue.
The person who books a session must be an adult. Where a session involves a minor — including Little Moments, Little Moments Mini, and Holiday sessions — a responsible adult must be present and is responsible for that minor's participation throughout.
Posterchild Media may reschedule a session when illness, emergency, or other circumstances outside our reasonable control make performing the session as scheduled impracticable or unsafe. If we are ultimately unable to perform and no replacement date is agreed upon, amounts you've paid for services not performed will be returned. Client-side emergencies are considered case by case.
Booking a session, and agreeing to these Booking Terms, does not grant Posterchild Media any permission to publish your photographs. During booking, you may optionally indicate that you're open to Posterchild sharing select images from your session on its portfolio or social media — that checkbox is only a preliminary interest flag, not an authorization. Any actual portfolio, social, or advertising use requires a separate, explicit model/photo release, obtained on its own.
We may update these terms as our policies evolve. The effective date at the top of this page reflects the most recent update. Terms in effect at the time of your signed project agreement govern that engagement.
